From February 1, 2026, Time Group sends all invoices to KSeF! We are proud to announce that our company is one of the first in the industry to implement full integration with the National e-Invoice System (KSeF). As a result, all our invoices go directly to the system, providing clients with quick access and full compliance with regulations.

What is KSeF and why is it so important?

The National e-Invoice System (KSeF) is an IT platform created by the Ministry of Finance, used for issuing, sending, receiving, and storing structured invoices. The system has been operating in Poland since January 1, 2022, as an alternative to traditional paper and electronic invoices. From February 1, 2026, it becomes mandatory for the largest companies, and from April 1 for all VAT taxpayers.

Invoices in KSeF have an XML format compliant with the FA logical structure, which is mandatory from February 1, 2026. The previous FA version will no longer be accepted, requiring updates to accounting software. Thanks to KSeF, invoices are automatically validated, minimizing errors and speeding up settlements.

KSeF implementation schedule – Time Group is ready earlier

The implementation of KSeF takes place in stages:

  • From February 1, 2026: Mandatory for companies with a turnover exceeding PLN 200 million in 2024 (issuing and receiving invoices). All entrepreneurs must receive invoices from KSeF.
  • From April 1, 2026: Obligation for other VAT taxpayers.
  • From January 1, 2027: For micro-enterprises.

At Time Group, we are not waiting for deadlines – from today all our invoices are sent to KSeF. This means our clients receive documents directly in the system, without the need for manually sending PDF files or paper. Paper invoices issued after February 1, 2026, will not be considered valid.

How to access KSeF?

Access to KSeF is obtained after submitting the ZAW-FA application, which is processed within 2 business days. This applies to the production version with real tax effects. In our company, this process has been completed in advance, and accounting systems updated to the FA structure.

Benefits of invoicing through KSeF at Time Group

The implementation of KSeF brings many advantages:

  1. Speed and automation: Invoices are sent immediately, without postal or email delays.
  2. Security: The system guarantees the authenticity and integrity of documents through XML validation.
  3. Time-saving: Automatic downloading of invoices to accounting programs, e.g., integration with popular systems like Evotax or inFakt.
  4. Legal compliance: We avoid penalties imposed by the head of the tax office for not using KSeF.
  5. Ecology: Less paper, more digitization.

Additionally, from February 1, 2026, it is possible to issue invoices with attachments in KSeF, facilitating the documentation of complex transactions.

Which invoices are not subject to the KSeF obligation?

Not all transactions require KSeF. The regulation of the Minister of Finance and Economy from December 7, 2025, specifies exceptions, e.g., certain supplies of goods or services without VAT. The list includes cases where a structured invoice is not mandatory but can be used voluntarily. At Time Group, all standard B2B invoices go to KSeF, ensuring maximum transparency.

How does it work in practice? A guide for our clients

Step 1: Register in KSeF via ePUAP or trusted profile.

Step 2: After receiving an invoice from Time Group, download it directly from the system (you will receive a notification).

Step 3: Import it into your accounting software – most systems are already integrated.

Step 4: Settle VAT without fear of errors.

If you have any questions, our accounting department is at your disposal. The Ministry of Finance confirmed the readiness of KSeF 2.0 in a communication on January 30, 2026.

  • Update software to FA before February 1, 2026.
